The Warranty Administrator / Data Entry Clerk is responsible for the accurate and timely processing of all warranty and service-related documentation. This role ensures compliance with manufacturer policies, proper claim submission, and efficient data entry to support dealership operations and maximize warranty reimbursement.
Key Responsibilities
Warranty Administration
Prepare, review, and submit warranty claims in accordance with Hyundai Motor America guidelines
Verify repair orders (ROs) for completeness, accuracy, and proper documentation
Ensure correct labor operations, times, and causal parts are used
Monitor and follow up on all outstanding, rejected, or pending claims
Process warranty cancellations and adjustments when required
Maintain organized records of all warranty documentation
Data Entry / Administrative Support
Accurately enter repair order data into the dealership management system (DMS)
Review closed ROs for proper coding, technician notes, and story clarity
Assist in correcting errors prior to claim submission
Maintain daily logs and reports related to warranty and service activity
Compliance & Audits
Ensure all warranty submissions meet manufacturer and dealership standards
Prepare for and assist with warranty audits
Identify and flag potential compliance issues or missing documentation
Communication
Work closely with Service Advisors and Technicians to gather required information
Communicate claim issues, corrections, or missing details promptly
Coordinate with management on warranty trends and problem areas
Qualifications
Previous experience in automotive warranty administration preferred
Familiarity with Hyundai warranty systems (or similar OEM platforms) is a plus
Strong data entry skills with high attention to detail
Knowledge of dealership operations and repair order flow
Proficiency in DMS systems (CDK, Reynolds & Reynolds, etc.)
